To help you vet a trusted caregiver agency, here is a targeted checklist of questions. These are designed to look past the marketing and get to the heart of their operational reliability.

Evaluating Caregiver Training

  • What specific certifications are required? Ask if they require a CNA (Certified Nursing Assistant) or HHA (Home Health Aide) license, or if they provide equivalent internal training.
  • Is there specialized training for specific conditions? If your loved one has Parkinson’s, dementia, or mobility issues, ask for proof of specialized modules completed by the staff.
  • How do you handle ongoing education? Ask how often expert care professionals are required to refresh their skills or learn new safety protocols.
  • Are caregivers trained in-house or via a third party? In-house training often indicates a more hands-on approach to quality control.

Verifying Reliability & Backup Protocols

  • What is the “Call-Off” protocol? Ask exactly what happens if a caregiver calls out at 6:00 AM. Who is notified first, and how quickly is a replacement dispatched?
  • How does the backup team learn the client’s routine? Ask whether they keep a “digital care plan” or a physical binder at home so a backup caregiver can quickly learn the client’s medications and preferences.
  • Is a supervisor available 24/7? Ensure there is a live person to talk to during off-hours, not just an answering machine, in case a caregiver doesn’t show up.
  • Can we meet the backup team? Some families prefer a “meet and greet” with a secondary caregiver so a stranger isn’t entering the home during an emergency.

Assessing Agency Commitment

  • What is your caregiver retention rate? High turnover often leads to inconsistent care. A trusted caregiver agency should have long-tenured staff.
  • How do you match caregivers to clients? Ask if they consider personality and hobbies, rather than just whoever is available on the schedule.
  • Are your caregivers W-2 employees? Avoid “registries” that hire independent contractors; W-2 agencies provide better oversight, insurance, and accountability.
